People.AI PMO Specialist in Boston, Massachusetts

Schneider Electric · Boston, United States

About the role

Job Title: People.AI PMO Specialist

Job Summary

The People.AI Program manages a global portfolio of AI use cases across Schneider Electric Services. Reporting to the Program Director, the PMO Specialist keeps day-to-day operations, governance and reporting running smoothly across Service Operations, Service Commercial teams and countries. You will act as the Program Director's right hand and help keep the program running like clockwork.

You will provide clear portfolio visibility by tracking project status, risks, dependencies, adoption and value. Working closely with the AI Product Excellence and Governance Leader in the Delivery team, you will prepare leadership reports and proactively drive actions to closure. You will collaborate with the Adoption team to consolidate adoption status and support Services Finance with traceable value reporting. You will also support procurement activities, including Coupa and vendor follow-up.

This role suits a positive, highly organized and detail-oriented self-starter who works confidently across cultures and time zones and uses Microsoft 365 and Copilot to improve efficiency.

Key Responsibilities

  1. Program Operations and Stakeholder Coordination
  • Run or prepare in advance the program's regular meetings (e.g., bi-weekly deployment calls, steering and executive meetings). Prepare agendas, pre-reads, executive decks and concise recaps.
  • Own the program's action tracker. Record decisions and actions with clear owners and deadlines, anticipate next steps, and follow up proactively until each item is closed.
  • Prepare materials and next steps for the Program Director before they are needed, so the program keeps moving and delays are avoided.
  • Stay up to date with everyone in the program, including Use Case Owners, Delivery team leaders, Schneider Digital counterparts, Change Management leaders, and Services Strategy, Services Operations and Services Commercial stakeholders.
  • Keep a current map of stakeholders and responsibilities, and make sure the right people are involved at the right time across regions and time zones.
  1. Portfolio Tracking and Delivery Support
  • Partner with the AI Product Excellence and Governance Leader in the Delivery team to support portfolio governance and reporting.
  • Own the program's risk tracker and maintain a reliable view of risks, issues and dependencies; follow up on mitigation actions and escalate material risks early.
  • Track project status, milestones, timelines and dependencies across use cases, working with owners to keep information current.
  • Support procurement where needed, including Coupa requests, purchase orders, contracts, SOWs, vendor milestones and invoice follow-up.
  1. Value Realization and Executive Reporting
  • Track value status for each use case, coordinating with Services Finance on baselines, assumptions, actuals and validation.
  • Maintain traceable value data and supporting documentation for reporting.
  • Collaborate with the Adoption team to collect and consolidate adoption status across use cases and countries.
  • Prepare accurate, executive-ready reports covering project status, risks, adoption, value and open decisions, with clear insights and recommended actions.

Success Criteria

  • Effective governance partnership: timely, accurate inputs are provided to the AI Product Excellence and Governance Leader to support portfolio decisions.
  • Reliable executive visibility: project status, risks, adoption and value are consolidated into clear, on-time leadership reports.
  • Disciplined risk management: the risk tracker remains current, mitigation actions are followed up, and material risks are escalated early.
  • Traceable value and adoption: value status is aligned with Services Finance and adoption status is consolidated with the Adoption team on an agreed cadence.
  • Smooth procurement: Coupa requests and vendor follow-ups are completed on time without program-related delays.

Qualifications

  • Bachelor's degree in Business, Finance, Economics, Engineering, Technology or a related field.
  • Experience in program or portfolio management, PMO or business operations in a complex organization; project management certification is a plus.
  • Strong analytical skills, including business cases, value models or financial tracking with Finance.
  • Highly organized and detail-oriented, with strong meeting facilitation, stakeholder management, communication and executive reporting skills.
  • Advanced Microsoft 365 skills and confidence using Copilot to improve reporting, meeting recaps and follow-up.
  • Able to work positively across cultures and time zones; experience in financial governance, procurement or Coupa, analytics tools, and AI or digital transformation is an advantage.
