About the role

Your function

As Operations Specialist, your role is to provide support to the sales process for contract activation and funding of settlements in line with DLL processes and vendor/partner agreements. Your role will be to ensure that all settlement transactions are processed in a timely and accurate manner in compliance with company policies, guaranteeing proactivity, customer focus, accuracy, and speed. The role reports to the Operations Manager ANZ.

Day to day

• Support the sales process from settlement to funding to meet and exceed new business targets.

• The prime source of information and support of sales queries on the contract activation and funding of settlements.

• Provide exceptional customer service to all stakeholders, internal & external, ensuring timely and accurate completion of requests.

• Proactive pipeline management and follow-up.

• Review contracts and corresponding documents submitted for settlement, communicate and liaise with all parties involved including DLL Sales Support, Risk, Legal, Finance and Asset Management teams as applicable.

• Effectively communicate and collaborate as a team. Proactively undertake cross-training with other team members, monitor workload and turnaround times, and maintain constant communication with Sales Support teams and Operations Manager to enable effective management of workflow and ensure compliance with service level agreements.

• Strict compliance to company policies and procedures, including completion of all training requirements, and timely follow up on delegated action items.

• Champion constant process improvement and automation across the business, improving efficiencies, accuracy and customer service.

• Ensure that all lease and loan security documentation is accurately completed, consistent with credit requirements

• Proper security registration is in place to ensure that all transactions are properly executed at the client level, enforceable and binding to the corporation.

• Responsible for the booking process and funding request of each invoice within each transaction.

• Accountable for achieving daily, weekly and monthly KPI’s and SLA’s

• Audit review and follow up on deficient transactions.

Your profile

• Prior exposure to vendor leasing/finance industry

• 3 years’ experience within a leasing/finance organization, preferably with transaction closing activities.

• Good level of understanding of documentation, equipment finance products, credit risks and compliance policies.

• Ability to review and analyze information, ensuring accuracy of documentation and compliance with internal and regulatory procedures.

• Strong attention to detail and high level of accuracy and compliance.

• Good level of understanding of credit risk

• Excellent communication skills (verbal & written).

• Ability to suggest improvements to systems and processes.

• Ability to effectively share knowledge.

• Must be a team player.

• Shows Initiative and be energetic & enthusiastic.

• High level of honesty and integrity.

• Be highly motivated to exceed internal and external customer expectations.

• An ability to quickly adapt to new systems and environments.

• Ability to multi-task and manage a high level of varying requirements.
