Responsibilities

Accountabilities

DAILY

• Process invoices as and when schedules are submitted by the branches.
• Maintain sales report from the 1st until closing date.
• Submit invoices/nominations as and when processed.
• Facilitate new account applications in line with company policy guidelines.
• Following up on new customer accounts.
• Deal with customer related queries. Identify and address discrepancies.
• Escalate and liaise with relevant parties to resolve customer disputes and queries.
• With approval, process credit notes, which will include all support documentation.
• Capture invoices on customer portals as and when required.

WEEKLY

• Document collections (phone or email) Check age analysis and communicate with customers regarding all overdue/ outstanding invoices.
• Communicate with Finance (verbal and written) regarding overdue invoices.
• Identify outstanding debts.
• Plan course of action to recover outstanding payments.
• Locate and contact debtors to inquire of their payment status.
• Negotiate payoff deadlines.

MONTHLY

• Maintain and archive financial records and files. Maintain the eletronic filing system.
• Prepare the monthly sales report for the Director.
• Maintain the main file and client register.
• Update internal accounting databases and spreadsheets.

ANNUAL

• Provide support documentation for annual audit.

Knowledge, Key Skills & Experience

• Qualification in finance, accounting or any other related field
• Practical work experience as an accounts payable accountant
• Strong communication and interpersonal skills
• Time management – able to work under pressure and respect deadlines
• Decision making and problem solving skills
