About the role

Objective of Job

1. Drive Committee Governance, Pre-Steering & Execution

  • Build and maintain the committee landscape, including mandate, scope, membership, governance rules, cadence, and interfaces.

  • Own pre-steering and end-to-end execution: annual calendar, agenda planning, stakeholder alignment, input collection, pre-read quality assurance, meeting coordination, minutes, decision log, and action register.

  • Independently resolve open questions and factual issues with responsible departments; ensure completeness and quality of all dion materials.

  • Establish common templates, status logic, escalation paths, and a single source of truth; continuously improve committee effectiveness.

  • Attend German-language meetings on behalf of the team; independently produce structured summaries of key outcomes and discussion points; consult with management on implications and required decisions; track and follow up on all resulting action items to ensure timely completion.

2. Board Member Committee Task Tracking

  • Independently structure and formalize tasks and decisions from Board Member-related committees into clear owners, deliverables, milestones, and due dates.

  • Independently track all action items to ensure timely completion, validate progress and closure evidence, and resolve or escalate overdue and blocked items.

  • Maintain an auditable decision and action trail and independently produce concise status reports and escalation proposals.

  • 3. Project Committee & Upward Reporting:

  • Independently manage governance and end-to-end execution of strategic and operational projects with internal, global, and external partners.

  • Consolidate progress, milestones, dependencies, risks, decisions required, and recovery actions into management-ready upward reporting.

  • Ensure traceability from working-level facts to committee decisions and leadership communication

4.Executive Preparation, Program & Decision Support

  • Independently deliver comprehensive preparation for senior-management events, meetings, and appointments, including self-authored briefings, talking points, decision papers, and discussion materials.

  • Prepare concise presentations and management summaries in Chinese, English and German for executive and governance meetings.

  • Conceptualize and implement management workshops, top-management events, and selected organizational-development initiatives.

  • Independently execute assigned strategic workstreams and ensure cross-domain alignment across MB.OS, EEA, AI, infotainment, AD, and related initiatives

5.Stakeholder Coordination & Operational Excellence

  • Independently manage relationships and communication with internal, global, and external stakeholders.

  • Maintain repositories, trackers, contact networks, and governance documentation with accurate version control and confidentiality.

  • Use digital, AI, and BI-enabled tools to improve workflow efficiency, reporting quality, transparency, and knowledge management.

Qualifikationen

Qualifications

Education

  • Bachelor degree or above in Business Administration, Industrial Engineering, Business Psychology, Innovation or Project Management, Computer Science, Software Development, Engineering, or a comparable field.

  • Experience

  • Several years of experience in committee management, governance, project management, PMO, or a comparable role with demonstrated ability to independently handle and complete complex tasks.

  • Automotive, technology, or international matrix experience is preferred.

  • A strong internal stakeholder network is an advantage.

  • Strong proficiency in Microsoft 365 applications and business productivity tools.

  • Experience in a multinational or matrix organization is an advantage.

  • Good communication skills in Chinese, English and German.

  • Experience working in a global, cross-cultural, and matrix organization.
